Register for WAITRO Summit 2026

We are delighted to welcome participants from across the global research, innovation, and sustainable development community to the WAITRO Summit 2026 in Istanbul, Türkiye. To ensure a smooth and transparent registration process, please follow the steps below.

Step 1: Complete the Online Registration Form

All participants are requested to complete the official WAITRO Summit 2026 registration form. Estimated completion time: approximately 3–5 minutes. Please note that workshop selections made during registration are primarily for planning purposes and may be adjusted at a later stage, subject to availability.

Step 2: Receive Your Registration Confirmation

After submitting the registration form, you will receive an automatic confirmation email acknowledging receipt of your registration. At this stage, your registration is considered a pre-registration and is not yet officially confirmed. Your participation in the WAITRO Summit 2026 will be officially confirmed once the applicable registration fee has been received and verified.

Step 3: Complete Your Payment

Following registration, you will receive payment instructions by email, including the official payment link provided by Istanbul Technical University (ITU). If you have already completed the registration form and only need to finalize your payment, please use the official payment link: Complete Your Payment

Individual Registration

• Credit Card (Recommended): Credit card payment is the quickest and easiest way to complete your registration
• Bank Transfer (EFT): If you are unable to pay by credit card, you may choose to pay by bank transfer. A receipt will be issued once the payment has been received and verified. If the payer’s name is different from the registered participant’s name, please enter the participant’s name in the “Add a note to your order” field during checkout.

Group Registration – Multiple Participants

Organizations registering multiple participants may choose one of the following options.

• Consolidated Invoice (Recommended): A single invoice can be issued for multiple participants from the same organization (one consolidated invoice; payment by bank transfer (EFT); simplified payment process for institutions. To request a consolidated invoice, please contact the ITU Organizing Committee at waitrosecretaria@itu.edu.tr and provide the names of the participants to be included.
• Bank Transfer (EFT): Organizations may also register participants through the online system and complete payment by bank transfer. Please include the names of all registered participants in the “Add a note to your order” field during checkout or send the participant list directly to the ITU Organizing Committee.
• Credit Card: Organizations may pay registration fees by credit card through the online payment system. Please include the names of all registered participants in the “Add a note to your order” field during checkout or send the participant list directly to the ITU Organizing Committee.

Cancellation & Refund Policy

Registration fees are subject to the WAITRO Summit 2026 Cancellation and Refund Policy (see below). Participants are strongly encouraged to review the policy before completing payment. The policy covers applicable refund conditions, participant substitutions, visa-related cancellations, organizer cancellations, and other relevant terms and conditions.

Step 4: Receive Your Official Participation Confirmation

Once your payment has been successfully received and verified, your participation in the WAITRO Summit 2026 is officially confirmed. You will receive further information closer to the Summit, including program updates, venue and access information, practical and logistical information.

Visa Support

Participants requiring visa support documents should indicate this in the registration form. Official visa invitation or support letters will generally be issued after registration and payment have been confirmed, unless otherwise agreed with the organizers. Participants requiring a visa are encouraged to register and complete payment as early as possible to allow sufficient time for the visa application process.

If you need to modify your registration details after submitting the form, please contact the WAITRO Summit organizing team at summit@waitro.org.

Important Information

• Submission of the registration form alone does not guarantee participation.
• Participation is officially confirmed only after the applicable registration fee has been received and verified.
• Each participant must complete the official registration form, including participants covered by a group or institutional payment.
• The organizers reserve the right to make reasonable adjustments to the program and registration process if necessary.
